It started with one prompt. I asked ChatGPT to summarize a client meeting, and what came back was cleaner than anything I’d ever typed. Then Claude wrote an email reply for me—short, smart, and on-brand. Now it’s June 2025, and these two AI assistants quietly handle 80% of my weekly admin work.

Every Thursday, I need to send a progress report to clients and prep updates for internal partners. Here’s how ChatGPT helps me knock it out:

Prompt:

Turn these bullet points into a weekly report summary. Keep it professional and concise. Add one next step.

ChatGPT understands tone. It doesn’t overwrite your voice, but makes sure you sound clear and put-together.

For team syncs, I drop a transcript of my own Loom recap, and it gives me a Slack-friendly version with tags, timestamps, and action items.

Claude Handles My Inbox and Proposal Drafts

Claude has become my first line of defense when replying to cold emails, follow-up questions, or general client requests. I forward the email, feed in context, and it gives me a draft reply that’s:

  • Accurate
  • Polite
  • Human

For proposals, Claude is even better. I drop in the brief and past work samples, and get back a draft with tiered pricing, scope, and optional add-ons.

Prompt:

Draft a proposal for [client/project]. Include 3 tiers, 2 bonuses, and clarify scope in 3 bullet points.

This one prompt saves me nearly 2 hours a week, and my proposals now close 20% more deals.

Gemini Helps Me Track Deadlines and Format Docs

When I’m juggling multiple deadlines, Gemini becomes my project assistant. It pulls context from Google Docs and Sheets and helps me:

  • Generate content calendars
  • Estimate time for deliverables
  • Auto-schedule follow-ups

Need a 10-slide deck? Gemini drafts layout suggestions from a brief. Need to reformat a client report? Gemini does APA, Chicago, even markdown.
