Walk into a new residential tower and count the tech. Facial recognition in the lobby, license plate readers in the garage, an app that controls the gym booking, thermostats that learn your schedule. Then watch a visitor try to get in. They're standing at the entrance, pressing a plastic button on a panel that was installed when the building went up, listening to static, hoping someone upstairs can make out their name.

That's the paradox nobody in proptech likes talking about. The front door — the single point every person, package, and delivery passes through — often runs on the oldest hardware in the entire building. Not because owners don't care. Because intercoms occupy a weird blind spot between "critical infrastructure" and "thing we'll deal with later" — right up until the buzzer dies and the building is suddenly searching for intercom system repairs on a Friday evening. 

The Front Door Is the Oldest Tech in the Building

Intercoms get installed once, during construction, and then everyone forgets they exist. They're wired directly into the walls. Riser cables run through shafts nobody wants to open. Every apartment has a handset or panel tied to that wiring, which means touching the system touches every unit.

So the logic becomes: it rings, it opens the door, leave it alone.

I've seen buildings in New York where the security cameras were replaced three times over fifteen years while the intercom stayed untouched since the Clinton administration. And honestly, that's not even unusual. Industry estimates put the average age of residential intercom systems in older US housing stock somewhere between 15 and 30 years. Elevators get inspected on a schedule. Boilers get serviced. The intercom gets attention exactly once — when it dies.

Part of the problem is ownership. Who's responsible? The super? The management company? The condo board? Entry systems fall into a gap where everyone assumes someone else is watching, and nobody is.

How Intercom Technology Actually Evolved

To understand why intercom systems fail the way they do, it helps to know what generation of technology you're dealing with. While today's entry systems look far more advanced than the audio-only units installed decades ago, the basic goal hasn't changed: connect visitors with residents and control secure building access. What has changed is the technology behind that process—and with each generation came new capabilities, along with new failure points.

Analog Era: Simple, Durable, and Hard to Modernize

The first generation of apartment intercoms relied on straightforward analog wiring. Most systems used two-wire or four-wire connections linking a lobby entrance panel to individual handsets inside each apartment. Audio communication was the standard feature, while a simple electrical circuit controlled the door release button.

One reason many of these systems remain in service today is their durability. With few electronic components and no software to maintain, analog intercoms often operate reliably for twenty or even thirty years with minimal maintenance. Many buildings still use systems installed in the 1990s because they continue to perform their core function without issue.

The downside is flexibility—or rather, the lack of it. These systems were never designed for video communication, smartphone connectivity, cloud management, or remote access. When a building wants to modernize, the existing hardware often reaches its limits.

Maintenance also becomes increasingly difficult as systems age. Manufacturers discontinue product lines, replacement parts disappear, and matching older components becomes challenging. A failed handset or entrance panel may require searching surplus inventories or secondhand marketplaces because compatible replacements are no longer produced. Even when parts can be located, they may come with no warranty or uncertain reliability.

The IP Revolution: Intercoms Become Network Devices

During the 2010s, many manufacturers shifted toward Internet Protocol (IP) technology, fundamentally changing how intercoms operate.

Instead of relying solely on dedicated wiring between apartments, IP systems communicate over Ethernet networks using technologies such as SIP (Session Initiation Protocol), Power over Ethernet (PoE), and digital video streaming. In many ways, a modern IP intercom functions like a specialized network computer mounted beside the building entrance.

This transition unlocked features that were impossible with analog equipment. Residents could answer calls on smartphones, property managers could monitor entry logs remotely, video became standard, and systems could integrate with access control platforms, surveillance cameras, and VoIP telephone infrastructure. Software updates also allowed new features to be added without replacing hardware.

However, these benefits introduced an entirely different category of maintenance issues. Instead of dealing only with wiring and hardware failures, technicians now troubleshoot network switches, routers, IP addressing conflicts, firmware bugs, firewall settings, and software compatibility problems. An intercom may appear physically intact while failing because of a network configuration change made elsewhere in the building.

Cloud-Based and Mobile-First Systems

The newest generation of intercom technology pushes even further toward software-based operation. Many modern systems eliminate traditional apartment handsets altogether. Visitors use a touchscreen entry panel, while residents receive calls through a mobile application anywhere they have internet access.

This approach offers tremendous convenience. Residents can unlock doors from work, while traveling, or while shopping. Property managers gain centralized dashboards showing entry history, delivery access codes, visitor logs, and user permissions. Temporary digital credentials simplify access for contractors, cleaners, or package deliveries without requiring physical keys.

Yet cloud dependence introduces new risks. These systems rely on remote servers operated by the manufacturer. If cloud services experience outages, authentication failures, or subscription issues, residents may temporarily lose remote access capabilities. Some buildings have also discovered the downside of vendor dependence when manufacturers discontinue product lines or retire cloud platforms, forcing expensive upgrades despite functioning hardware.

Unlike older analog equipment that could continue operating independently for decades, cloud-connected systems require long-term software support and ongoing vendor commitment. Choosing a provider therefore becomes as important as selecting the hardware itself.

Understanding which generation your building uses provides valuable context when problems arise. A twenty-five-year-old analog system and a cloud-managed smart intercom may serve the same purpose, but diagnosing, repairing, and upgrading them requires completely different expertise. Recognizing those differences helps building owners make smarter maintenance decisions, avoid unnecessary replacements, and plan future upgrades that balance modern functionality with long-term reliability.
